Terms and Conditions for Tactile Reading Conference 2025

These terms and conditions (“Terms”) constitute a legally binding agreement between the conference participant (“Participant”, “you”) and Tactile Reading Conference 2025 (“Organiser”, “we”, “us”). By registering for and participating in the Conference, you agree to be bound by these Terms.

Article 1: The Conference

1.1 Tactile Reading 2025 is a recurring international conference. It brings together participants worldwide that contribute to making information accessible through tactile solutions. In addition to braille, this also involves tactile graphics, drawings and 3D. During three days, the Conference will feature a varied program about all aspects of tactile reading. 

The Tactile Reading Conference is about sharing knowledge, ideas and experiences from practical work, innovation and research. The contributors will bring new knowledge and inspiration to the participants in their professional work and promote further development of new understanding within the field of tactile reading.

Article 2: Applicable Law and Dispute Resolution

2.1 These conditions apply to all agreements with the Organiser regarding participation in the conference.

2.2 Deviations from these conditions are only binding if and insofar as they have been explicitly confirmed in writing by the Organiser.

2.3 If one or more provisions in these general terms and conditions are wholly or partially null and void or are annulled at any time, the remainder of these Terms and Conditions will remain fully applicable.

2.4 These Conditions are governed by and interpreted in accordance with Dutch law, without taking into account the conflicts of legal provisions.

2.5 All disputes or claims arising from or related to these Conditions will be brought before a competent court in the Netherlands.

Article 3: Organising Parties

3.1 The organisation of the Tactile Reading Conference 2025 is a joint initiative of the Dedicon Foundation, Royal Dutch Visio, Bartiméus, CBB and Passend Lezen Library Service.

3.2 The Conference Organisation operates under a Steering Committee in which all parties are represented. 

3.3 The administration of the Organisation is placed with Royal Dutch Visio.

3.4 The Organisation may use the services of third parties for the Organisation and provision of the conference. These third parties work under the responsibility of the Organisation, subject to their own legal liability.

Article 4: Conclusion of the Agreement

4.1 Application

a. An application for the Tactile Reading Conference can only be done by completing and returning the digital registration form on the website www.tactilereading.org

b. The digital registration form will be completed by the interested party.

c. The digital registration form must be filled out completely and truthfully.

d. Submitting the registration form can only be done digitally, using the Checkout button at the end of the form.

4.2 Registration

a. The application is considered registered at the moment the interested party receives an e-mail confirming the registration. The Organiser will send this confirmation as soon as possible after receipt of the registration.

b. The interested party cannot derive any rights from registration of the application. 

c. By sending the online registration form, the Participant declares to know and accept the Organiser's General Terms and Conditions.

4.3 Participation

a. An interested party will only become a participant if the registration has been accepted by the Organisation after registration. The interested party will receive a confirmation by e-mail as soon as possible. 

b. By sending this confirmation of participation, the agreement to participate in the Tactile reading Conference 2025 is concluded.

c. Participation in the conference is only final after receipt of full payment of the registration fee.

d. All payments must be made in the currency as indicated by the Organiser. Any currency exchange fees or charges are the responsibility of the Participant.

Article 5: Amendments, postponement or cancellation by Organiser

5.1 The program of Tactile Reading Conference is described on the website www.tactilereading.org.

5.2 The conference program and speakers are subject to change by the Organiser without prior notice.

5.3 The Organiser is not responsible for any changes to the program or the speakers, nor for any consequences thereof for the Participant.

5.4 The Organiser reserves the right to cancel or postpone the Conference if sufficient cause is deemed by the Organiser to do so. 

5.5 The Organiser does not accept any liability for damages caused by cancellation or postponement.

5.6 Except in cases of force majeure, the Organiser undertakes to announce cancellation or postponement to the participants no later than 5 working days before the start.

5.7 In the event of cancellation by the Organiser, any participant amount already paid will not be refunded.

5.8 If the Organiser considers that there is sufficient reason to do so, the Organiser may decide to have (part of) the Conference take place at a location other than that originally communicated.

5.9 In the event of a date change of the Conference by the Organiser, the participant will not owe any amount if the new date is not convenient. In the latter case, the participant may cancel free of charge upon announcement of the new date.

Article 6: Force Majeur

6.1 If the proper performance by the Organiser as a result of one or more circumstances, which are not for the account of the Organiser, including the circumstances referred to in paragraph 2 of this article, is wholly or partly, temporarily or permanently impossible, the Organiser has the right to suspend the performance of the agreement or to cancel the agreement in whole or in part, without being obliged to pay compensation.

6.2 Circumstances that are in any case not for the account of the Organiser are, for example: shortage of guest speakers, strike, entry, exit and or transit bans of resources required for the meeting, transport problems, non-fulfillment of obligations by the supplier of the Organiser, government measures, pandemics, nature and / or nuclear disasters, war and or threat of war, terrorist actions and or attacks.

6.3 The Organiser will inform the participant as soon as possible of the existence of a force majeure situation and indicate to what extent it can execute the agreement.

Article 7. Cancellation or modifications by Participant

7.1 The Participant has the right to cancel participation in the Conference.

7.2 Cancellation can only take place by e-mail. You must inform us via email to participants@tactilereading.nl

7.3 If your email is received no later than April 18th 2025 a cancellation fee of € 75,- will apply to cover administration and catering costs incurred with respect to your registration. If your email is received between April 19 to June 4th, 2025 no refund will be granted.

7.4 If the Participant does not attend at the Conference without cancellation, there is a no-show and the Participant is obliged to pay 100% of the participant costs.

7.5 Tickets are personal and cannot be transferred to other persons.

7.6 Attendance of Participants during a meeting will be verified through mandatory attendance records that must be signed on site.

Article 8: Privacy personal data

8.1 The Organiser processes personal data provided by the participant in accordance with the Organiser's privacy statement, as found at www.tactilereading.org.

8.2 By entering into the agreement, participants also consent to the processing and sharing of personal data with third parties the Organiser for the preparation of the attendance list, creation of badges, certificates of participation and evaluation of the meeting.

8.3 Only after the participant has given written consent can his personal data be used for a purpose other than that described in 9.2.

Article 9: Liability

9.1 Except in cases of intent or gross negligence on the part of the Organiser or its subordinates, the Organiser, regardless of the legal basis on which the Participant's claim is based, is only liable for compensation of damages up to a maximum of the invoice amount paid for participation in the meeting.

9.2 In organizing the Conference, the Organiser may use third parties to provide content and shape to the meetings. The Organiser is not liable for the accuracy and completeness of the information provided.

9.3 The Organiser shall never be liable for loss, theft and or damage to participant's property, regardless of where the meeting takes place.

9.4 Regardless of the legal basis on which the participant's claim is based, the Organiser shall not be liable for damage due to intent or gross negligence of its subordinates and or non-subordinates for whom it is liable under the law and or third parties it engages in the organisation of the meeting.

Article 10: Intellectual Property

10.1 All intellectual property rights related to the Conference, including but not limited to presentations, materials and handouts, remain the property of the Organiser or their respective owners.

10.2 The Participant agrees not to copy, reproduce or distribute any part of the materials provided at the Conference without the prior written consent of the Organiser.

By participating in the conference, Participant certifies that he/she has read, understands and agrees to be bound by all terms and conditions set forth herein.
